How to share a private brain by email

Share a private KBrain brain with up to 5 people by email on the Pro plan. They accept the invite and query the brain from Claude, ChatGPT or any MCP assistant, and you can revoke access at any time.

Share a private brain with the people who need it

A private brain is yours alone by default. With KBrain Pro you can open it to a few specific people: a client, a colleague, a contractor. You invite them by email, they accept, and from then on they can ask the brain questions from their own AI assistant. Nobody else can add it.

Share a brain in four steps

  • Go to My Brains, open the private brain you want to share and click Edit.
  • In Share privately, type the person's email address. Add a short personal note if you like, so they know why they are getting it.
  • Click Send invite. KBrain emails them from no-reply@kbrain.io with an Accept invite button.
  • They sign in to KBrain with that address and click Add to my connections. The brain is now available in Claude, ChatGPT or any MCP client they have connected to KBrain.

You can share each private brain with up to 5 email addresses. Revoking someone or cancelling an invite frees the place for someone else.

What the people you invite get

  • They can ask the brain questions from their AI assistant, with answers grounded in your sources.
  • They see the brain's name, description and sample questions.
  • Their assistant can read the text of the brain's files, so only share content you are happy for them to read.
  • They cannot edit the brain, download your original files, or share it with anyone else.
  • Their questions count toward their own KBrain plan: 300 MCP calls a month on Free, unlimited on Pro.

Who can accept an invite

Only the address you invited. The invite link works once, expires after 14 days, and only for someone signed in with that email address, so a forwarded email is not enough to get in. People without a KBrain account create one simply by signing in with the invited address. KBrain never tells you whether an address already had an account.

Managing access

  • Invited means the email went out and is waiting to be accepted. You can resend it once a day.
  • Has access means the person accepted. Revoke removes the brain from their assistant on their next question.
  • If you cancel Pro, sharing is paused rather than deleted, and comes back when you upgrade again.
  • If you make the brain public or share it with your organization, email sharing stops, since the brain is no longer private.
  • On Business and Enterprise, the organization owner can turn sharing by email off for the whole organization. Existing shares are paused while it is off.

Upgrade to KBrain Pro, open a private brain, and invite up to 5 people by email. They accept the invite and ask the brain from their own AI assistant.

Questions people ask.

How many people can I share a private brain with?

Up to 5 email addresses per brain on the Pro plan. Each of your private brains has its own 5 places.

Does the person need a paid plan?

No. A free KBrain account is enough to accept and use a shared brain. Their questions count toward their own plan, so heavy users may want Pro for unlimited calls.

Can the person I share with download my documents?

No. A shared brain answers questions through MCP only. Your files, file list and settings stay private to you.
